Overview 

Using the Integrated Service Component you can connect Vivantio to your asset management database/s. Using asset synchronisation you can map fields from your asset management database into Vivantio, pairing this with Vivantio's ticketing creates a powerful management and reporting tool. 

Installing and Adding Credentials

Navigate to the Admin Area > Integration & API > Downloads

Pre-requisites

For Asset import you will need to create the SQL script to select the Assets and Fields you wish to import. You will also need to provide credentials of an account which can access the SQL Database and Tables during the set up process.

We also recommend you review the asset information you would like to import and set up custom forms and fields for any which are not provided by default, click here for more help on setting these up. Set these to always visible until you have completed the initial synchronisation to aid mapping (i.e. do not limit by category until after the import.

    Asset Synchronisation

    Open the Integration Service component and select Add Task.

    Select the Asset Synchronization task and click OK.

     

     

    General Tab

    Instance Name: record a name for the task you are creating, e.g. SCCM asset sync

    Credentials: Select as appropriate, there will usually only be one option here.

    Enabled: Leave disabled until you are ready to complete the first synchronisation.

     


     

    Data Source

    Source type: The type of SQL database your asset management tool is using

    Server: The name of the server the asset management database is on

    Database: The name of the asset management database

    User Name: The name of the account that will access the database and run the query to extract the data

    Password: The password for the above account.

    Windows authentication can be used if selected.

    Query: A SQL query will be needed to select the required data, an example sql query is given below. 

    When you have completed all the relevant details click Validate and then View Query Results.

    Field Mappings

    Use the field mappings page to map the incoming asset fields to those in Vivantio, including the Custom Forms and Fields you created earlier.

    Tip: You will need to have Custom Forms for Assets set to  show for all category to ensure the fields appear in the field mappings. Map the fields and click Preview to check the data in the screen.

     

    Detail Screens

    In the Detail Screen you will see any custom fields and forms which are set to only display for certain categories. Map them as described above.


    Sync Tab

    The Sync button will be greyed out until the task has been saved and re-opened using the Edit Task button. When you are happy click Sync to perform a full sync of all your data, this could take some time and it is best to check with the Vivantio Support Team prior to doing so to ensure that there are no errors. Once complete a message will appear to confirm the number of successful Assets.

    Please Note: If a sync is performed from the main ISC screen, then this will perform a part sync in which the changes and differences between the last full sync and now will be made.

    Behaviors

    By default the sync will delete assets from Vivantio when they are removed from your asset management tool, if you want to change this behavior (for example keep the asset but change the Status to Retired, you can do so here.


    Scheduling

    When the task has been set up, you can run the task on a scheduled basis from the Schedule / Notifications button in the main ISC screen.

     

    The Schedule Form contains options for the configuration of email notifications and scheduling for individual task instances. This will only work if you are using SMTP as described here

     

     

    If the Send Notifications box is ticked, the ISC will send an email summary to the email address that has been configured in the Global Settings in the Admin Area. The notification will go out after every sync.

    The Schedule form can be viewed and modified at any time by selecting the Schedule / Notifications button from the main ISC screen.
