Overview
Vivantio is a powerful ITSM platform that can be configured to keep key individuals informed by email. The email templates in these circumstances can be highly designed to make the best possible impression, especially important when emailing your customer. We are so often hit by phishing emails and sometimes we are unsure if emails we receive are real or not and so the branding of email templates is paramount here to reassure your customers that they are responding to a genuine email.
This page shows you how to configure Themes for Email Templates to ensure consistency of branding across email communication. To apply see how to apply these themes to your email templates click here.
Guidance
Navigate to Admin Area > Setup > Outgoing Email > Themes
A theme consists of a Header HTML, Footer HTML, and CSS in a Style Sheet tab. The Header and Footer HTML will be rendered as the first and last bits of the email respectively. The CSS will be rendered in the appropriate place.
To Add a Theme
Click Add and enter a Theme Name
Enter the Header HTML. In this example we have inserted our logo at the top of the page.
Enter the Footer HTML
Enter the Custom CSS within the Style Sheet to edit your Header and Footer
Add the Font Family, Size and Color > Click Save
Please Note: The 'Font' options will also be applied to all text including the Header, main body, Footer and Signature. It will overwrite any other formatting and should only be used as an alternative to the Style Sheet.
Example
Below is the result of the theme applied to an outgoing email, with the header and footer and formatted font. Please note that how users see the results will depend on how they access their emails and they may need to download the images before they are displayed.
