Overview
Vivantio uses permissions to control what users of the main application and callers on the portal can see and do. This is done by creating roles and then setting up the permissions for those roles against each system area and its included tickets, CRM, Assets, Articles, Reports and Dashboards.
You can find more about controlling data permissions here (ITSM only).
GuidanceNavigate to the Admin Area > System Areas > Select the System Area you wish to apply the Permissions e.g. Ticket > Permissions > Process PermissionsProcess permissions based on roles set in User Management can be applied to Tickets, Clients, Locations and Callers and Access Control applies to Reports. When a role has been created in the Roles Tab within the User Management menu option of the Admin Area, navigate to the Process Permissions or Access Control tab, select the appropriate role and tick the boxes for which processes should be available to that role. To find out more about creating roles and setting default permissions click here.
For the User, the Processes are automatically hidden based on the available permissions for the given record. When viewing a list of items (e.g. a queue/list/sub tab), all possible processes will be shown, as the exact processes available to the user cannot be determined until selections have been made.
